SEEKING NOMINATIONS FOR APA OF ND BOARD OF DIRECTORS

The Asian Pacific Alumni Board of Notre Dame annual election is now underway. This is a tremendous opportunity to help your alma mater in one of its important initiatives, that of improving the diversity of its population and programs. Everyone is encouraged to help identify and nominate deserving candidates. All APA and all degrees are eligible. Self-nominations are acceptable. Terms are for three years. Board members are asked to attend two meetings on campus each year. Travel and incidental expenses will be covered by the ND Alumni Office. Board members should also be available to participate in occasional conference calls throughout the year. Board members must be a member of a local Notre Dame Club and are expected to be representatives of the APA of ND at various Notre Dame alumni and student activities and programs. Nominations are being accepted for the five positions on the APA Board of Directors:

1. Treasurer
2. Student Relations Director
3. Regional Director – Hawaii
4. Regional Director – San Francisco
5. Regional Director – East

Voting will open on March 27, 2010, and will close on April 15, 2010 at 5:00 p.m. eastern time.

The five positions up for election and their respective duties are as follows:

Treasurer - The Treasurer shall be the Chief Financial Officer of the APA of ND and have the responsibility of conducting the fiscal and financial affairs of the organization and its Board of Directors.

Qualification: In order to qualify for the Treasurer position, he/she must be a constituent in good standing, have good math and accounting skills, and be willing to faithfully fulfill the responsibilities of his/her position.
Responsibilities: In order to achieve the mission and purpose of his/her position, the Treasurer shall have the following responsibilities:
   1.    Meet with and work in conjunction with the financial representatives from the University and NDAA to maintain a record of all moneys in the appropriate accounts and maintain an accurate record of Board expenses;
   2. Collaborate with the entire Board of Directors to develop and present for approval at each spring general meeting an annual budget for the following fiscal year;
   3. Assist Board members in the creation of budgets for specific activities;
   4 . Prepare and provide a detailed organizational financial report to the Board of Directors at each fall and spring meeting;
   5. Monitor the expenditure of funds authorized by the Board's approved budget, be alert to conditions that would jeopardize the health of the APA of ND's account and bring the condition to the Executive Committee's attention with suggested corrective action to be approved by the Board;
   6. Together with the Chairperson, determine whether to approve any expenditures that exceed budgeted items;
   7. Prepare, facilitate and cooperate with all internal and external audits in accordance with the NDAA's financial procedures;
   8. Manage the reimbursement process between Board members and the NDAA;
   9. Oversee the Scholarship Fund; 
   10. Serve as the chairperson of the Scholarship Committee; and
   11. Any other authorities and responsibilities inherent to the Treasurer position.

Student Relations Director – The purpose of the Student Relations Director shall be to provide support to the current AP students, to enhance their Notre Dame experience, increase their awareness of the NDAA, and to encourage their active participation in the NDAA after they graduate.

Qualifications: In order to qualify for the Student Relations Director position, s/he must be a constituent in good standing and willing to faithfully fulfill the responsibilities of his/her position.
Responsibilities: In order to achieve the mission and purpose of his/her position, the Student Relations Director shall have the following responsibilities:
   1. Research, analyze and characterize the AP student population on the Notre Dame campus;
   2. Explore and research any negative or positive developments within the Notre Dame campus environment which impact the AP students' level of satisfaction at Notre Dame;
   3. Be the liaison between the Board of Directors and the AP students, and keep the Board of Directors appropriately informed of any developments with the AP students;
   4. Serve as the Board of Directors' liaison with the AP student groups, their advisors, and MSPS;
   5. Coordinate with the Alumni Relations Director to promote the Alumni Student Club program;
   6. Plan opportunities for the Board of Directors to interact with the AP students and AP student organizations during all general meetings; and
   7. Any other authorities and responsibilities inherent to the Student Relations Director position.

REGIONAL DIRECTORS – Hawaii, San Francisco, East
The purpose of the Regional Directors shall be to carry out the goals and objectives of the APA of ND in their respective regions. Regions, as used herein, include six areas centered around cities which contain a significant number of APA of ND constituents. Also, two regions, West and East, cover the rest of the Country not covered by the city-centered regions.
Qualifications: In order to qualify for a Regional Director position, he/she must be a constituent in good standing and be willing to faithfully fulfill the responsibilities of his/her position; and reside within the specific geographic region in which he/she represents.
Responsibilities: In order to achieve the mission and purpose of his/her position, each Regional Director shall have the following responsibilities:
   1. Organize and conduct programs in his/her region on behalf of the Board of Directors as appropriate;
   2. Represent the APA of ND at regional NDAA and local club functions, activities and meetings;
   3. Manage any APA of ND business within his/her region;
   4. Establish and maintain contact and a good working relationship with his/her respective NDAA regional coordinator(s), and with local clubs within his/her region;
   5. Identify APA in his/her respective region to assist with accomplishing regional objectives, and form regional committees if necessary and desired;
   6. Act as a liaison between the Board of Directors, Alumni School Club representatives, and APA within his/her respective region;
   7. If requested by a local club, work with MAN regional representatives and NDAA regional directors to assist local clubs in his/her respective region to identify and appoint/elect a Diversity Coordinator as required by the NDAA; 
   8. Increase the active participation of APA in the local clubs located in his/her region and promote local club activities with the APA in his/her region;
   9. Assist in identifying candidates to fill the Regional Director’s position for his/her respective region. Actively assist new Regional Director to effectively transition to the position; and 
   10. Any other authorities and responsibilities inherent to the Regional Director position.
   11. Although not required, each Regional Director is expected to attend Alumni Senate during the first year of becoming a Regional Director. 
   12. All other Regional Directors shall make an earnest and reasonable effort to attend Alumni Senate so that the Board is capable of sending an appropriate number of Regional Directors to Alumni Senate each year.

• Regional Directors are to participate in local clubs, work to increase the recruitment of Asian Pacific students; Carry out the goals and objectives of the AP A in their respective regions; organize and conduct regional programs as appropriate; and manage any other business of the AP A within the region; Establish and maintain contact with the National Alumni Board Directors and local clubs within the region; Identify alumni within each region to assist in accomplishing regional objectives and form a regional committee if necessary and desired; Ensure timely communication to regional alumni and other constituents; Attend and represent the APA of ND at alumni Association regional meetings with their respective regions. San Francisco shall include the City of San Francisco, its environs, and other designated areas. Hawaii shall include the Hawaiian Islands and other designated areas. East shall include the areas of the Country not covered by the city-centered regions (Hawaii, San Francisco, Los Angeles, Chicago, New York, and Washington D.C.) or the West Region. Lake Michigan and the Mississippi River will serve as the separating line between the two regions.

Minority Alumni Network Board Attendance Expectations:

All board members contribute significantly to the success of board proceedings and board functions. You are expected to attend all board meetings and planned board functions (meals, special presentations, etc.) Certain travel expenses incurred by board members while attending a board meeting on campus will be covered by the Alumni Association, including air travel, lodging, and meals planned by the Alumni Association.

Should you have an obligation that will prevent you from attending all or part of a scheduled board meeting, please notify your board chair and Alumni Association staff liaison. In addition, you are responsible for submitting any information or reports to your board chair that may be covered during the board’s business proceedings.
